FAQ
Questions We Hear Most.
Short, plain answers about managed IT services, managed AI, AI governance, and working with Dragon Bay IT in Tampa, St. Petersburg, Clearwater, and the rest of Tampa Bay.
AI Safety and Governance
Is it safe for my employees to use ChatGPT with company data?
It depends on which account they use and what they paste in. When staff use personal AI accounts, the company has no say over the settings and no record of what was shared. The safer approach is an approved AI tool the company controls, a written policy on what data can go into it, and managed accounts and devices so that policy can be enforced. That's what Dragon Bay AI and our managed IT provide together.
What is shadow AI?
Shadow AI is any AI tool employees use for work without the company's approval or knowledge, usually through personal accounts. It's how company and client information ends up in places the business can't see, manage, or delete. The fix is an approved AI tool, a written AI policy, and enforcement on managed devices and accounts.
What is AI governance?
AI governance is how a company decides which AI tools staff can use, what information can go into them, and how those rules are enforced. In practice it means seeing which AI tools are in use, blocking risky ones, and applying company rules on the devices and accounts people work on. Because it needs control of those devices and accounts, Dragon Bay IT provides AI governance as part of managed IT: it's included in Storm Guard and available as an add-on for Harbor.
How do I create an AI acceptable-use policy for my company?
Start by listing which AI tools are approved and who can approve new ones, what company and client information must never go into an AI tool, how staff should review AI output before using it, and who owns the policy. Every business handles different data, so the policy should be written for yours rather than copied from a template. We write it with you as part of AI governance, then enforce it on your managed devices and accounts so it's more than a document.
Will my cyber insurance ask about AI?
Increasingly, yes. Cyber insurers are adding questions about AI use at renewal, and some policies are adding AI-related exclusions. Having an approved AI tool, a written AI acceptable-use policy, and managed accounts makes those questions much easier to answer. Storm Guard includes cyber insurance questionnaire support.
Dragon Bay AI
What is a managed AI service?
A managed AI service gives your whole team AI through one secure workspace that an IT provider sets up and runs for you, instead of each employee signing up for their own tool. Dragon Bay AI is Dragon Bay IT's managed AI service: one workspace with models such as Claude, ChatGPT, Gemini, an Auto option that picks the best model for each task, and one fixed monthly price for the team.
Which AI models can my team use in Dragon Bay AI?
Your team can choose models including Claude, ChatGPT, Gemini and more, all in one workspace. If someone isn't sure which to use, they can choose Auto, and Dragon Bay AI matches each task to the model best suited to it.
How is Dragon Bay AI different from buying ChatGPT for everyone?
Per-seat AI subscriptions charge for every person, every month, and give the company little visibility into what's being shared. Dragon Bay AI is one fixed monthly price for your whole team, set up and managed by your IT provider, with alerts at 75% and 90% of your monthly capacity. Paired with our managed IT, it also comes with full AI governance.
How much does Dragon Bay AI cost?
Dragon Bay AI plans start at $250/month for the whole team, not per person. Plans are sized by how many people use AI and how heavily they use it, and we'll recommend one during your AI Readiness Assessment.
Do I have to switch IT providers to use Dragon Bay AI?
No. Dragon Bay AI can be bought on its own and works alongside your current IT provider. Full AI governance, meaning seeing and blocking other AI tools and enforcing your rules on devices and accounts, comes with Dragon Bay IT managed IT, because it needs control of those devices and accounts.
What happens if my team uses more AI than our plan includes?
You'll know well before it happens. You get alerts at 75% and 90% of your monthly capacity, so there are no surprise bills. If your team regularly needs more, we'll talk with you about moving to a larger plan before anything changes on your invoice.
Managed IT Services
What are managed IT services?
Managed IT services, often just called managed services, means an outside company, called a managed service provider (MSP), takes ongoing responsibility for your technology for a predictable monthly fee: keeping computers patched and monitored, protecting against threats, managing Microsoft 365, and giving your staff someone to call or email when something breaks. Dragon Bay IT provides managed IT services to small and mid-size businesses across Tampa Bay.
How much do managed IT services cost?
Our managed IT plans, Harbor and Storm Guard, are billed per user, per month, with server management billed per server. Microsoft 365 licenses are at Microsoft's list price. Because every company's users, devices, and servers differ, we quote after an assessment rather than publishing a one-size price.
What's the difference between managed IT and break-fix IT support?
Break-fix IT means you call someone after something breaks and pay by the hour. Managed IT means a provider monitors, patches, and secures your systems continuously for a monthly fee, so many problems are caught before your team notices, and support is already included when something does go wrong.
Do you offer co-managed IT if we already have an IT person?
Yes. Co-managed IT supplements your internal IT person rather than replacing them. We can take on security monitoring, Microsoft 365, AI governance, projects, or industry software support, and leave the rest with your team.
